In mid-2011, Hunt & Hunt decided to replace its existing DMS, Trackfile and chose to replace it with iManage Worksite supplied by i2 Management. The iManage project was executed in parallel with an SOE upgrade to Windows 7 and Office 2010 which required the i2 team working closely with Hunt & Hunts internal SOE team. The project began in August 2011 with major milestones including: Installation of the iManage Software FileSite and Email Management Design of workspaces for Legal groups and administration Implementation of four databases with individual customisation The staged import of over 5 million documents from Trackfile End user training and application transition for 300 end users System roll out in Sydney, North Ryde, Melbourne & Adelaide
The Australian owned and operated, Regis Group is one of Australia’s largest providers of aged care services and has been caring for older Australians since 1993. Regis operates aged care facilities over five states each with differing compliance requirements. Regis issued a Software Requirements Specification (SRS) for an Enterprise Content Management System to selected solution providers for a competitive response. After evaluation of the responses, i2’s proposal for HP/- iManage WorkSite and project delivery was selected. The solution is based on the implementation of iManage Worksite, Email Management, Archive Manager and Workflow Manager. The initial project focus was to establish a corporate content repository, then to use Workflow Manager to design and develop workflows for the operational aspects of the Groups care facilities.
Tabcorp’s Corporate and Legal Department have concluded agreements to implement HP iManage WorkSite with i2 Management. The project objectives were to improve management of documents and emails within the department and to provide staff increased mobility and remote access. The WorkSite modules being implemented by i2 as part of the project include; WorkSite – Business Server. Worksite – Email Management. WorkSite – OffSite – (laptop Synchronization). Process Automation – Workflow for Workspace generation. The i2 project team, completed the project, on time in March and have transitioned to i2’s Service Desk for ongoing site support.
The Juries Commissioner’s Office of Victoria engaged us to develop a WEB based solution to allow potential jurors to record their response to the “Selection for Jury Service” Questionnaire online. Questionnaires are mailed to potential jurors who are then able to submit a response online. Our approach was to provide the full end to end services to complete the project including; Analysis and design encompassing a Development Specification document. Programming for the WEB page development; duplicating the look and feel of the paper questionnaire. Programming for the WEB services development; providing seamless integration between the WEB and the in-house applications. System level testing for all components. Assistance with User Acceptance testing. Commissioning and deployment to an externally hosted environment. Internal deployment and training. Project Management during the complete life cycle of the development and commissioning. The project was complete on time and on budget. The development and implementation of the solution was another step forward for the Juries Commissioner’s Office and its operational focus on efficiency and usability. The successful development and deployment provided significant benefits in terms of: Reduction in postal and stationary costs. Reduction in data entry effort for the keying of responses. Enhanced public perception of the Juries Commissioner’s Office.
In 2012 the County Court and Interform executed a proof of concept project to determine the viability of using the iManage WorkSite application to establish electronic case files. The proof of concept was successful and as a result the Court has begun a project to implement iManage WorkSite within the Melbourne Court and country circuit locations. The Court began implementing the system in the Latrobe Valley and went “live” on the 11th of December 2012. This is the first stage of an eventual roll out to all circuit locations during 2013. The timing of the implementation for Melbourne is currently being programed. WorkSite will provide a list judge in Melbourne, a Judge on circuit or in transit, complete and immediate access to all documents on the court file. It is in essence an electronic court file transparent to any user of the system. The iManage application set also provides for laptop and iPad integration. The project has been integrated with the rollout of the Courts refresh program for its multi-function devices. The Court are installing new HP MFD’s (525C’s) which have a new WorkSite software interface to scan and print documents directly into (or from) the iManage electronic court file through a touch screen interface. The project is being managed by i2 Management’s professional services team and includes integration with the Courts Case management System.
As the Victorian County Courts IT Operator Interform (i2’s Court specialist Subsidiary) has responsibility to maintain and refresh the Courts IT infrastructure at the Melbourne Court. The most recent project managed by Interform was the the Desktop Refresh Project, delivered to Court users from December 2011 through to April 2012. The refresh project involved Interform managing design, acquisition, SOE development, deployment and training. The project dimensions were; replacement of 37 desktops, 82 Laptops and 83 local printers. Each court user was individually transitioned to the new desktop/Laptop. The service desk team provided training on the new equipment and imported the user’s local storage to the new equipment. Post project execution Interform conducted a survey to assess the court user’s level of satisfaction with the execution of the Desktop Refresh. The results were: The total of Satisfied or Very Satisfied (top categories) end user outcome was over 99% of respondents. The combination of the Interform Service Desk and i2’s Offsite Team delivered a quality outcome to the staff of the County Court.
In April 2012, i2 Management were engaged to deliver a document management solution using iManage FileSite and Email Management to Mullins Lawyers, an independent Queensland-based law firm. This project involved providing analysis, design, implementation and training services for 90 users within a terminal server environment. The project did not commence until late July 2012 due to the impact of other project priorities and was successfully rolled out to the entire user base in October 2012. This project was delivered 25% under the original budget estimate.
The VLA (Victoria Legal Aid) completed a 3 month Proof of Concept (POC) for the ActiveDocs application set at the end of March. The POC enabled the VLA to automate a selected number of document templates to determine the practical use of ActiveDocs to automate precedent templates. Hans Wolf, VLA’s Chief Information Officer said “A key requirement was that our lawyers could access the templates on our tablets and generate documents both internally and out of the office”. The VLA project team were provided training in the ActiveDocs development by i2 at the beginning of the year together with initial consulting and design advice. At the conclusion of the POC the VLA confirmed its order for ActiveDocs and has now created 300 templates (integrated with the VLA’s Grants system) and is on track to achieve their aim of 900 templates by the end of November. The VLA is very satisfied with the pace of development. The project objective is to extend VLA precedent access to their 300 lawyers in early 2015. The ActiveDocs web interface was a key consideration as VLA’s lawyers are often at court, at offsite conferences and the ability to generate case documents from anywhere using the ActiveDocs interface will significantly improve service to VLA’s clients.
